Terms and Conditions

1. Payment

For courses booked 20 or more working days before the course start date:

A non-refundable deposit of £150/€200/$240 is payable immediately on course confirmation. All outstanding fees must be paid no more than 10 working days before the course start date.

For courses booked fewer than 20 working days before the course start date:

All fees must be paid immediately on course confirmation.

Students will not be allowed to start their course unless full payment has been received by InTuition Languages Ltd (ITL), on behalf of the Host Tutor, by the stated due date.

2. Cancellation Policy

Cancellation fees Written notice provided:
£150 / €220 / $240 More than 10 working days before the course start date
50% of the total course fee 10 – 6 working days before the course start date
100% of the total course fee 5 or fewer working days before the course start date
£150 / €220 / $240 Change of course dates after confirmation

The cancellation fees detailed above will also apply to all courses which are not cancelled by written communication with ITL within the period stipulated. Fees are not reimbursed if a student arrives late or departs before the end of the course. If a course is cancelled or postponed after the course start date, fees will not be reimbursed.

3. Postponement

Students may postpone a course up to 10 working days before the course start date for a fee of £75 / €100 / $120. The course must be rebooked at the same time in order not to incur cancellation fees. Postponing a course fewer than 10 working days before the course start date will incur full cancellation fees.

4. Visas

ITL will provide the documentation required for students to apply for a Short Term Study visa where necessary, upon receipt of full fees. If a visa application is unsuccessful, we will refund fees in full (less a £150 administration fee) upon receipt of the visa refusal letter (GV51).

5. Liability

ITL acts only as agent between its students and travel organisations and Host Tutors. Under no circumstances can ITL be held responsible for any injury, damage, loss, delay or accident which may occur during a student’s stay with a host family, or as a result of activities which they take part in during their stay or whilst travelling to and from the student’s home, or loss of property. Lessons missed by students due to illness or absence will not be refunded. No monies can be refunded for any reason.

Neither ITL nor the host family is responsible for students’ personal possessions. It is an explicit condition of enrolment that students accept full financial responsibility for any damage caused by them to the host tutor’s property during a course.

6. Insurance

Neither ITL nor Host Tutors provide insurance cover for adult students, and it is a condition of attending an ITL courses that students obtain personal travel insurance against cancellation, accident, illness or loss of property. All European Union students travelling within the EU are advised to register for the European Health Insurance Card, as well as arranging insurance cover.

Insurance cover is provided as standard for each Young Learner course in the EU. It covers against course cancellation, personal injury, medical, loss of personal belongings and personal liability. Students can purchase student travel insurance with Guard.me on www.intuitionlang.com/student-zone.

7. General

ITL endeavours to place students in the region of first choice wherever possible, but reserves the right to place students in other regions if there is no compatible family in the first-choice location. ITL also reserves the right to change an allocated teacher before or during the course if this becomes necessary. In the unusual event of a host tutor not being available, ITL reserves the right to recommend a homestay with one family and lessons with an outside teacher.

We insist that all parents or guardians of Young Learner students complete a Parental Consent Form prior to the course start date. This states ITL’s responsibilities and what is expected of the parent and student. Host families have a duty of care over all Young Learner students for the duration of a course. No student under 18 years of age may leave the host tutor’s home unaccompanied without written permission from their parent or guardian.

ITL cannot accept any retrospective claim or complaint from a student. Problems must be brought to the attention of ITL during a course. We will seek to manage and resolve any problem brought to our attention during the course with extreme delicacy and tact and will, if necessary, move a student to a new Host Tutor with a minimum of disruption. Please note that notification of any problem is the responsibility of the student or his / her agent.

In the event of the discovery of any serious health problem or contagious illness, mental or physical disability, or special education need not disclosed at the time of booking, or criminal or anti-social behaviour on the part of a student, ITL reserves the right to terminate a course and repatriate that student at their own cost and without refund of fees.

8. Preparation for your trip

Students should ensure that their Host Tutor knows their estimated time of arrival (if a transfer has not been booked through ITL) so that he or she can make sure to be at home when the student arrives.

Students arranging transfers through ITL must provide their mobile telephone number in order for the transfer to be arranged. Airport / station arrival and departure times must also be provided in advance.

We recommend that adult students bring at least £75/€100/$120 spending money per week to cover transport and entrance fees (both yours and those of the host tutor) during activities and excursions.

9. Complaints Procedure

Students’ welfare is our top priority, but occasionally there may be issues which require our attention. Students must inform ITL of any complaints as soon as possible. We take every issue very seriously but can only help students if we know a problem exists while a student is on course. ITL will handle and resolve any problem brought to our attention during the course with extreme delicacy and tact and will, if necessary, move the student to a new Host tutor with a minimum of disruption.
